Greenmommy Privacy Policy

Greenmommy has three fundamental principles underpinning all our programs and operations: Rights, Resilience and Respect. Greenmommy follows the highest ethical standards in carrying out our purpose. We acknowledge and respect the rights that individuals have to keep their personal information safe from unauthorized use or disclosure. Greenmommy values the trust that individuals place in our organization and we recognize that maintaining this trust requires us to be transparent and accountable in how we treat information that is shared with us. This is the framework in which we have drafted and will implement our Privacy Policy.

This Privacy Policy applies to individuals we deal with in the United States, Canada and the United Kingdom only. Greenmommy does not control the content or the privacy policies of third party on-line resources to which our web sites may provide links and this Privacy Policy does not, therefore, apply to any such resources.

Our Commitment
During the course of our various programs and activities, Greenmommy gathers and uses personal information from program participants and other stakeholders. Personal information is any information that can be used to distinguish, identify or contact a specific individual, including name, address, telephone number, email address, etc. Anyone from whom Greenmommy collects such information can expect that it will be carefully protected and that any use of this information is subject to their consent. Greenmommy is committed to protecting the privacy of your personal information.

Privacy Principles
Greenmommy complies with the 10 privacy principles found in the Canadian Standards Association’s (CSA) Model Code for the Protection of Personal Information, which have also been incorporated into the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Accountability
Greenmommy is responsible for individuals’ personal information under our control, including information collected or processed on our behalf by third parties. Greenmommy will establish and implement procedures to protect individuals’ personal information; will ensure that our staff, and third parties who collect or process personal information on behalf of Greenmommy, are made aware of and adhere to these procedures, through contractual or other means, and to the organization’s Privacy Policy as a whole; and will designate a Privacy Officer who is accountable for the organization’s compliance with this Privacy Policy.

2. Identifying Purposes and Informing Individuals
Greenmommy will identify the purposes for which personal information is collected and will communicate these purposes to the individual(s) from whom the information is collected at or before the time the information is collected. When personal information that has already been collected is intended to be used for a purpose not previously identified, Greenmommy will identify the new purpose to the individual(s) prior to use. Unless the new purpose is required by law, the consent of the individual(s) is required before information can be used for that purpose.

3. Consent
Greenmommy will ensure that the knowledge and consent of individuals is obtained for the collection, use or disclosure of personal information, except where inappropriate, for example due to legal, medical or security reasons. An individual has the right to withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice.

Consent to the collection, use and disclosure of your personal information may be given in various ways. Consent can be express (express consent may be oral, in writing or electronic), implied (such as when you provide your name and address in order for us to send you products or information you have requested). Generally, by providing us with your personal information, we will assume that you consent to our collection, use and disclosure of such information as described in this Privacy Policy.

If you do not want your personal information collected by us, please 1) follow the procedures, where available, indicated at the point of collection to “opt out” so that your personal information is not collected, 2) if no “opt out” option is available, do not submit personal information to us, or 3) do not “Opt in”, where such option is available, so that your personal information is not collected.

If you have provided us with personal information and wish to withdraw your consent to its retention, use or disclosure, please contact us.

4. Limiting Collection of Information
Greenmommy will ensure that the collection of personal information is limited to that which is necessary for the purposes identified and will ensure that information is collected by fair and lawful means.

5. Limiting Use, Disclosure and Retention of Information
Greenmommy will ensure that personal information is not used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required by law. Personal information will be retained only as long as necessary for the fulfillment of those purposes.

6. Accuracy of Information
Greenmommy will ensure that personal information is as accurate, complete, and up-to-date as is necessary for the purposes for which it is to be used. However, Greenmommy will not routinely update personal information, but will rely upon you to provide accurate and complete information and to advise Greenmommy if circumstances change over time. If you contact us with a request, we will take appropriate steps to update or correct the personal information in our possession that you have previously provided to us.

7. Safeguards
To protect personal information against loss or theft, unauthorized access, copying, use or modification, Greenmommy will ensure that security safeguards are used that are appropriate to the sensitivity of the information. These safeguards may include, where appropriate: (a) physical measures, for example, locked filing cabinets and restricted access to offices; (b) organizational measures, for example, security clearances and limiting access on a "need-to-know" basis; and (c) technological measures, for example, the use of passwords and encryption.

Although we have enacted security measures, we cannot guarantee that security of any information that you submit via email or over the Internet. Submission of personal information using such networks is done at your own risk, since no Internet transmission is ever 100% secure or error-free. You should take special care in deciding what information you send to us via email or posting on our web sites. Our web sites may contain links or references to other web sites to which this Privacy Policy does not apply. Greenmommy is not responsible for the data collection and use practices of companies or organizations to which the Greenmommy web site may provide links. We encourage you to read the privacy policy of each web site you visit.

8. Openness
Greenmommy will make readily available to individuals specific information about its policies and practices relating to the management of personal information.

9. Individual Access to Information
Upon request, Greenmommy will ensure that an individual is informed of the existence, use, and disclosure of their personal information and is given access to that information, except where inappropriate (e.g. where information contains references to other individuals) or proscribed by law. An individual may review the accuracy and completeness of the information and request that it be amended as appropriate. Greenmommy may need to verify your identity before searching for or providing you with your personal information. We will respond to you within thirty (30) days after the request for access or rectification has been received or will notify you during that period if a longer period is required by us in order to fully address your request, provided that an extension of such thirty (30) day period is permitted by applicable privacy laws. Requests are subject to some access exceptions as prescribed by law. Any exceptions to providing you with access to your personal information must be approved by the Chief Privacy Officer.

10. Handling Concerns and Suggestions
Our Privacy Policy refers in various places to you contacting us in order to: receive information or special offers; receive a copy of the most current version of our Privacy Policy; withdraw your consent to our retention, use or disclosure of your personal information; access or correct your personal information; and, communicate any questions, comments, or concerns about his Privacy Policy or our privacy practices.
